Personal Information Protection Policy

Congrès Inc. understands the importance of personal information and its responsibility to protect privacy. To earn the trust of our clients, business partners, employees, and various other members of society, we have drawn up the following Personal Information Protection Policy to ensure the appropriate handling of personal information throughout the company.

  1. To establish a system for protecting personal information and clarify where responsibility lies, we have appointed a Chief Privacy Officer and a Chief Privacy Auditing Officer, have drawn up rules on the handling of personal information, and ensure that the rules are fully understood by our employees through training and other means.
  2. When acquiring personal information, we clearly state the purpose of collecting and using such information in advance. When we ask an individual to submit personal information in writing, we clearly state why we need such information in writing in advance, and, only after receiving the person’s consent, we collect, use and share such information to the extent necessary for the purpose of use. To prevent personal information from being used for any purpose other than originally intended, we specify this policy and purposes of using personal information in a document titled “Handling of Personal Information” and ensure that all employees are fully informed thereof, while also making the document available to the general public.
  3. We may share personal information of our clients, business partners and employees with external contractors to the extent necessary for the purpose of use. In this case, we will select contractors who meet our personal information protection standards, and enter into an agreement on the protection of such information with them, so that we can manage and control the way information is handled by them on our own responsibility.
  4. We take reasonable security measures to: prevent unauthorized access to personal information; protect personal information from leakage, loss and/or damage; and improve the way we handle personal information. Should an incident affecting the security of personal information occur, we will notify the individual to whom the information belongs of the incident without delay or take appropriate measures, which include enabling the individual to readily access information about the incident.
  5. To ensure compliance with laws, regulations, national guidelines and other norms regarding the handling of personal information, we have defined procedures for such handling in accordance with applicable laws and regulations and management rules.
  6. In order to ensure that the security of personal information held by us is appropriately maintained, we conduct audits regularly and continue to improve our personal information protection management system.
  7. If an individual who submitted his or her personal information to us requests us to: notify him or her of the purpose of use of the information; disclose, correct and/or add to the information; delete some part or all of the information; or suspend the use of the information or the provision thereof to a third party, we will promptly address the request, as well as complaint and request for consultation relating thereto if any, after our “Customer Service Representative in charge of Personal Information” confirms the identity of the requesting individual.

Handling of Personal Information

  1. Purposes of use of users’ personal information that we collect and hold
    ・To arrange the provision of facilities of the Congrès Convention Center to users and contact users when necessary regarding such arrangements
    ・To send information on the use of facilities of the Congrès Convention Center and other services offered by Congrès Inc. (We will not send the information if you so wish.)
    ・To conduct questionnaire surveys
    ・To respond to inquiries to the Congrès Convention Center
    ・To take photos/videos of events to be posted on our newsletter and website for the purpose of publicity

    Provision of personal information to Congrès Inc. is not mandatory. Please note, however, that we may not be able to offer some part or all of our services to users who have not submitted their personal information.
  2. Provision of personal information held by us to a third party
    We will never provide any third party with personal information of our clients, business partners and employees without prior consent of the individual to whom the information belongs, except when:
    ・We are given consent for disclosure by the individual to whom the information belongs.
    ・Disclosure of information is required by law.
    ・Provision of the information to an external contractor is necessary to achieve the purpose of use. In this case, we will enter into a non-disclosure agreement with the contractor.
  3. Sharing of personal information held by us with an external contractor
    We may share personal information of our clients, business partners and employees with external contractors to the extent necessary for the purpose of use. In this case, we will select contractors who meet our personal information protection standards, and enter into an agreement on the protection of such information with them, so that we can manage and control the way the information is handled by them on our own responsibility.
  4. Safeguarding of personal information
    We have established internal rules to safeguard personal information of our clients, business partners and employees, and ensure the rules are fully understood by our employees through training and other educational means. We also conduct audits regularly to check compliance with the rules and maintain and improve the measures to safeguard personal information.
  5. Procedures and fees to request disclosure, correction and suspension of use of personal information
    Clients, business partners and employees may request the disclosure, correction or suspension of use of their personal information held by us.
    To request the disclosure of your personal information, please fill in our Disclosure Request Form and send the form by post together with a copy of a document verifying your identity* with your photo on it, issued by a government agency (e.g., driver’s license, passport, basic resident registration card) to our “Customer Service Representative in charge of Personal Information.”
    To meet a disclosure request, we will charge the stipulated fee. In principle, we will reply to the disclosure request by post to the individual to whom the personal information belongs. Upon receipt of a request for correction or suspension of use of personal information, we will correct, add, delete or suspend the use of personal information as requested, only after confirming the identity of the requesting individual and then ensuring that he or she has the right to make such request.
    *Some identity verification documents may contain “domicile of origin,” which is sensitive personal information that we forbid ourselves from collecting. Please be assured that we will never use any of the information shown in your identity verification document for any purpose other than to meet requests for disclosure, correction, or suspension of use.
